Responsible use of artificial intelligence

Why we publish this policy

Artificial intelligence is today present in most digital working tools. In the field of mental health, where a relationship of trust is a condition of effective intervention, we consider that you have the right to know exactly whether, how and within what limits it is used.

We publish this policy on our own initiative. Some of the information below goes beyond what legislation obliges us to communicate. We considered complete transparency preferable to the legal minimum.

In brief

Is the psychological assessment carried out by AI?
No. It is carried out entirely by the psychologist.
Does AI establish the diagnosis or the recommendations?
No. Never.
Does AI decide what support or accommodations a child receives?
No. Never.
Does your data end up in AI tools?
No. We do not enter identifiable personal data into external AI tools.
Is AI not used at all?
AI may occasionally be used only as an auxiliary tool for research, organisation and drafting of general informative texts, under human verification.
Who is responsible for the final content?
The psychologist, entirely and without exception.

1. The principle that guides us

Artificial intelligence is NOT used in professional practice. The psychologist analyses, verifies, decides and takes full responsibility for the final result.

2. Where we use AI tools

Artificial intelligence tools may be used, as auxiliary support, for:

  • professional research and identification of relevant literature;
  • organising and structuring information;
  • drafting, rewording and editing general informative texts, under human verification;
  • checking the clarity and coherence of a document;
  • translation between Romanian and English, with terminological verification;
  • adapting language for parents, teachers or other recipients;
  • preparing articles and general psychoeducational materials;
  • administrative activities that do not involve personal data.

3. Where we do NOT use AI tools

We do not use artificial intelligence for:

  • carrying out the psychological, psychoeducational or neuropsychological assessment;
  • administering, autonomously scoring or finally interpreting the results of psychological tests;
  • establishing a psychodiagnosis or a clinical conclusion;
  • decisions concerning your access to our services;
  • automated profiling of children or adults assessed;
  • predictions about a child’s development;
  • emotion recognition based on facial expression, voice or behaviour – a practice that European legislation expressly prohibits in educational and workplace settings;
  • communicating results or conclusions to you or to your child;
  • generating images, audio or video recordings that could be mistaken for authentic material.

We do not use AI conversational assistants (chatbots) on this website. Any message you receive from us comes from a person.

4. Protection of your data

This is the most important and strictest rule in our internal policy: we do not enter identifiable personal data of service users into external AI tools.

This means that in no external AI tool do we enter: name, personal identification number, contact details, address, exact date of birth, the name of the school where it would allow identification, photographs, recordings, identity documents, identifiable psychological or medical reports, or any combination of information that would allow a person to be identified.

The rule applies even where:

  • the use would have a legitimate professional purpose;
  • the information would be entered for only a few seconds;
  • the conversation would be deleted immediately;
  • the tool provider offers contractual guarantees;
  • you were to give us your consent. We do not ask for such consent and would not rely on it, because the residual risk cannot be controlled by us.

Your data is processed exclusively in the practice’s own systems, which are not connected to AI tools. Full details on data processing are set out in the Information notice on the processing of personal data handed over at the first session.

5. How we verify what AI produces

Artificial intelligence tools can generate false information that appears credible, including non-existent bibliographic references and incorrect calculations presented with apparent certainty.

For this reason, any professionally relevant information is verified before use, against: the manuals of the psychological instruments, official norm tables, the specialist literature, recognised diagnostic classifications, legislative texts and the requirements of the relevant examination bodies.

Verification is not a spell check. It means that the psychologist can explain why each statement is correct and can indicate the source of each factual item. A document for which this condition is not met is not issued.

6. Materials published on this site

Some materials published here (articles, guides, informative materials) may be prepared with the support of AI tools for research, structuring, drafting or editing. In all cases:

  • the content is fact-checked by the author;
  • sources are verified individually at origin;
  • the wording is substantially revised and adapted;
  • the material is approved before publication;
  • editorial responsibility rests entirely with the authoring psychologist.

We do not publish texts taken automatically and unmodified from an AI tool. The informative materials published here are general in nature. They do not constitute a psychological assessment, a diagnosis or an individualised recommendation and do not replace a consultation.

7. Our competence in the field of AI

European legislation on artificial intelligence requires organisations that use AI systems to ensure an adequate level of competence in this field for the people who operate them (art. 4 of Regulation (EU) 2024/1689).

Dr Monica Bolocan has attended and completed three training programmes in the field of artificial intelligence:

  • AI Fluency: Framework & Foundations (Anthropic, together with University College Cork, Ringling College of Art + Design, the Higher Education Authority and the National Forum for the Enhancement of Teaching and Learning in Higher Education – August 2026) – a foundations programme covering the delegation of tasks to artificial intelligence, the formulation of prompts, critical evaluation of results and responsible use;
  • Claude 101 and Introduction to Claude Cowork (Anthropic, June 2026).

The certificates are kept in the practice’s compliance file and can be presented on justified request.

Competence in this field is further supported by the practice’s own documentation: a detailed internal policy on the responsible use of artificial intelligence, an own risk classification analysis under Regulation (EU) 2024/1689, documented anonymisation procedures and a register for verifying AI-generated results, in which identified and corrected errors are recorded.

For the sake of accuracy we state two things: European legislation does not establish a mandatory certification in this field and does not officially recognise any “AI literacy” certificate – the legal requirement is to ensure a sufficient level of competence, assessed in relation to the concrete context of use; and the distinction between types of training matters: a certificate issued by the provider of a tool attests competence in using that tool, whereas a foundations programme attests general competence. We prefer to state which is which, rather than use a more impressive and less accurate formulation.

Training in this field is ongoing. The internal policy provides for annual review and at least one relevant training activity every 24 months.

8. The legal framework we work to

Our internal policy is drawn up in accordance with:

  • Regulation (EU) 2016/679 (GDPR) and Law no. 190/2018;
  • Regulation (EU) 2024/1689 on artificial intelligence (AI Act), as amended in July 2026, in particular art. 4 (AI literacy), art. 5 (prohibited practices) and art. 50 (transparency), applicable from 2 August 2026;
  • the European Commission guidelines on the transparency obligations under art. 50, adopted in July 2026;
  • Law no. 213/2004 on the practice of the profession of psychologist and the Code of Ethics of the profession of psychologist;
  • the procedural requirements of the relevant examination bodies (JCQ, Cambridge International, Pearson Edexcel International, OxfordAQA, IB), none of which recognises reports generated by artificial intelligence.

9. What we never claim

For clarity, we do not and will not claim:

  • that a report was “generated by artificial intelligence”;
  • that artificial intelligence assessed, diagnosed or recommended anything;
  • that our use of AI is certified, authorised or approved by a public authority;
  • that our services are “AI-based”.

10. Updates and questions

This policy is reviewed at least annually and on every relevant change to legislation, to the tools used or to our practice.

You have the right to ask, at any time, how a document concerning you was prepared and to what extent AI tools were used. We will answer concretely.
